Associate Project Manager

Word on Fire Catholic Ministries is a nonprofit global media apostolate that supports the work of Bishop Robert Barron and reaches millions of people to draw them into—or back to—the Catholic faith.

The Associate Project Manager is responsible for managing projects across the ministry.  The Associate Project Manager works under the guidance and direction of senior project managers to ensure ministry projects remain on schedule, on budget, and achieve project objectives. The Associate Project Manager works closely with business partners across the ministry to help ensure projects are prioritized, planned, and executed effectively.

Responsibilities

  • Support project requirement gathering, scheduling, and budget tracking throughout the project lifecycle
  • Assist in managing multiple projects across the ministry
  • Facilitate project team meetings, anticipate issues, track project status, and communicate project updates regularly
  • Prepare and communicate regular project status reports
  • Review progress on tasks and deliverables, ensuring accountability for meeting planned timelines
  • Help identify areas for process improvement and work with senior managers to execute improvements
  • Monitor, analyze, and communicate project progress, and when necessary, facilitate getting the project back on track
  • Help drive the change management process and uphold project discipline to prevent scope expansion, working closely with senior project managers
  • Support departments across the ministry with their projects to ensure they are as effective and efficient as possible
  • Track and communicate change management and minimize the impact on the project budget, scope, and objectives; work with the project team and business partners to create solutions that preserve the project’s momentum
  • Steward and monitor project resources such as team bandwidths and budgets throughout the project lifecycle
  • Assist with drafting project plans and manage project documents such as schedules, budgets, procedures, change requests, and issues
  • Engage key business partners and interface with other departments to ensure effective flow of communication
  • Maintain files and information, including but not limited to: project schedules, status reports, financial data, budgets, project documentation, and legal documents

Requirements

  • Bachelor’s degree in engineering, business administration, finance, or equivalent experience
  • 2 years of experience managing projects through the full project lifecycle, preferably within the engineering, media, software, or IT sectors
  • Experience with the project management life cycle, waterfall, and agile methodologies
  • Excellent business analysis and critical thinking skills
  • Ability to write concise and effective reports which outline issues and recommendations for senior leadership
  • Experience facilitating cross functional meetings to achieve a direction in line with company objectives
  • Strong presentation skills
  • Great interpersonal skills to build strong relationships and make connections with business partners throughout the ministry
  • Results-oriented, independent self-starter, and expert time manager 
  • Ability to develop new business processes and functions
  • Commitment to the mission of Word on Fire

Preferred Qualifications

  • Familiarity with the work of Bishop Barron and Word on Fire
  • Familiarity with project management software such as Monday, Jira, Asana, Adobe Workfront, or Trello
  • Experience with work and process automation tools
  • Experience with data reporting tools such as Tableau 
  • Familiarity with and interest in the book publishing industry 

Compensation and Benefits

The estimated base pay range for this position is $60,000 - $78,000 annually. Word on Fire determines individual compensation on several factors, including but not limited to, experience, skills, alignment with the role’s responsibilities, and geographic location. This role may be eligible for annual merit increases based on individual performance.
